Rental Charge Types - Header and Basic Pricing Card

This page describes the header and the 'Basic Pricing' card in the Rental Charge Types setting. Please follow the links below for descriptions of the other parts of the setting:

Header

Code
Enter a unique Code for the Charge Type. The Code can consist of up to five characters, and you can use both numbers and letters.

Comment
Enter a descriptive name for the Charge Type record. This will be shown in the 'Rental Charge Types: Browse' window and the 'Paste Special' list and so should be clear enough to make the selection of the correct Charge Type easy for all users.

Basic Pricing Card

Charging By
Choose an option to specify whether Agreements with the Rental Charge Type are to be charged on a daily or monthly basis:

Days
If you run the 'Charge Reservations' Maintenance function daily, a new charge will be added to the Agreement each day. If you do not create charges until the end of the Reservation, the appropriate number of daily charges will be added when you do so.

If a Reservation runs for one day (e.g. from Monday to Tuesday), one day will be charged by default. If the Reservation runs for five days (e.g. from Monday to Friday), four days will be charged by default. If you would like two days and five days to be charged in these examples, select the Charge for First Day option in the Rental Pricing Options setting. You can also select the Don't Charge for Bank Holidays or Don't Charge for Customers' Bank Holidays options below if you need Bank Holidays and other days to be excluded from the charging schedule.

When you invoice the charges, the number of days charged will be used as the quantity in the Invoice, and the Total in the Reservation (i.e. Periodic Price - any discount) will be used as the Unit Price (the Total in the Reservation will therefore be the price per day).

Monthly
If you run the 'Charge Reservations' Maintenance function monthly, a new charge will be added to the Agreement each month. If you do not create charges until the end of the Reservation, the appropriate number of monthly charges will be added when you do so.

When you invoice the charges, the number of months charged will be used as the quantity in the Invoice, and the Total in the Reservation (i.e. Periodic Price - any discount) will be used as the Unit Price (the Total in the Reservation will therefore be the price per month).

Fixed Price
A single charge will be added to the Agreement. If an Agreement has a Fixed Price Rental Charge Type, you will only be able to add charges to the Agreement after you have received the rented Item back from the Customer i.e. after you have created an Items In record from the Rental Reservation and marked that Items In record as Accepted.

When you invoice the charge, the quantity in the Invoice will be one, and the Total in the Reservation (i.e. Periodic Price - any discount) will be used as the Unit Price (the Total in the Reservation will therefore be the fixed price for the rental).

Minimum Charge
When you add the rental charge to an Agreement, you will do so by opening the Agreement and selecting 'Rental Charges' from the Create menu (Windows/macOS) or + menu (iOS/Android), or by running the 'Charge Reservations' Maintenance function. In both cases, you will have the option to add rental charges incrementally (e.g. daily) or at the end of the Reservation period.

If you add rental charges daily, you can use this field to specify that daily charging will only be used for longer term Reservations. For example, if you specify here that the Minimum Charge Qty is 10, daily charges will not be created for Rental Reservations in which the rental period is shorter than ten days. Charges will only be added when the Rental Reservation has been marked as Done i.e. after the Customer has returned the rented Item. Open-ended Rental Reservations (i.e. Rental Reservations without End Dates) will be charged daily.

Charging per Day
If you have selected "Days" as the Charging By option above, use these options to specify more precisely which days in a rental period will be charged for:

All Days
Every day in a rental period will be charged for.
If you are using this option, you can also use the Charge for First Day option in the Rental Pricing Options setting to determine the number of days that will be charged for.

Don't Charge for Bank Holidays
Bank Holidays and weekends will not be charged for.

A Bank Holiday will not be charged for if it is listed in the record in the Bank Holidays setting for the Country specified in the Company Info setting.

A day in the week will not be charged for if it has been marked as a non-working day in the same record (e.g. if you have ticked the Saturday box in the Bank Holidays record, Saturdays will not be charged for).

This option will always behave as though the Charge for First Day option in the Rental Pricing Options setting is not selected.

Don't Charge for Customer's Bank Holidays
Bank Holidays and weekends will not be charged for.

A Bank Holiday will not be charged for if it is listed in the record for the Customer in the Customers' Bank Holidays setting in the Rental module or in the record in the Bank Holidays setting for the Country specified in the Contact record for the Customer (or, if there is no Country specified in the Contact record for the Customer or no record in the Bank Holidays setting for that Country, in the record in the Bank Holidays setting for the Country specified in the Company Info setting). In other words, the Customer-specific Bank Holidays and the standard Bank Holidays will not be charged for.

A day in the week will not be charged for if it has been marked as a non-working day in the record for the Customer in the Customers' Bank Holidays setting. In other words, only the Customer-specific non-working days will not be charged for.

This option will always behave as though the Charge for First Day option in the Rental Pricing Options setting is not selected.
