Aged Stock Analysis
This page describes the Aged Stock Analysis report in the Stock module.
---
The Aged Stock Analysis report illustrates how long the individual units of each Item have been in stock. The aging is calculated on a FIFO basis. The report shows for each Item the Item Number and Name, the total stock level and the stock level for each ageing period, as defined in the specification window. The report supports up to six ageing periods.

If you enter a number of Classifications separated by commas, the report will only include Items featuring all the Classifications that you have listed. If you enter a number of Classifications separated by plus signs (+), all Items featuring at least one of the Classifications listed will be shown in the report. If you enter a Classification preceded by an exclamation mark (!), the report will include Items featuring any Classification except the one listed.
- For example:

- Includes Items with Classifications 1 and 2 (including Items with Classifications 1, 2 and 3).

- Location
- Paste Special
Locations setting Stock module
- To produce an Aged Stock Analysis report for a particular Location, specify that Location here.
- Department
- Paste Special
Departments setting, Assets/Human Resources Management/System module
- If you need the report to list the Items that you have assigned to a particular Department (using the Department field on the 'Stock' card of each Item record), specify that Department here.
- Supplier
- Paste Special
Suppliers in Contact register
- Enter the Contact Number of a Supplier here if you need the report to list the Items that can be purchased from that Supplier (i.e. Items with Default Purchase Items in the name of that Supplier).
- Date
- Paste Special
Choose date
- Enter here the date when the ageing calculation is to start. If you leave the field blank, the current date will be used.
- Age Limits 1-6
- Use these fields to define the ageing periods. By default, these will be taken from the Age Limits setting in the Sales Ledger.
- The Age Limits shown in the illustration will result in a report with three columns showing stock aged 0-30 days, 31-60 days and 61 days and over.
- If you would like the first column in the report to show stock that arrived today (or on the Date specified above), enter 0 as the Age Limit 1. If you then enter 30 as the Age Limit 2, the second column in the report will show stock that is between 1 and 30 days old.
- The age of each unit will be taken from the Goods Receipt that received it into stock. If you have any returned stock, its age will depend on the date when you originally received it in to stock, not on the date when it was returned.
- Function
- Choose one of these options to specify whether the report should display the quantities of each Item in stock for each aging period, or the values of each Item in stock. Stock values will be taken from the Goods Receipts that received the Items into stock so will not be calculated using Cost Models.
- Function
- Use these options to specify the level of detail that you need in the report.
- Overview
- The Overview is a simple list showing for each Item the Item Number and Name, the quantities or values for each aging period and total quantities or values:

- Detailed
- In addition to the information shown in the Overview, the Detailed version of the report will also show the overall stock level and value of each Item, the average cost of each unit (calculated from the Goods Receipts that received the Items into stock, not using Cost Models), the last date when each Item was received in to stock and the last date when each Item was sold:
 - The two last dates are company-wide dates i.e. if you specify Location in the field above, the report will show the last date when each Item was received in to stock in any Location and the last dates when the Items were sold from any Location, not just the specified Location.
- In both cases, the Item Numbers of Items with Varieties will have the Standard ERP drill-down feature in the report when it is printed to screen. Click (Windows/macOS) or tap (iOS/Android) on one of these Item Numbers to open a Varieties in Stock report for the Item in question.
- Only with Balance
- Select this option if you need to exclude Items that you do not have in stock from the report.
- Include Closed Location
- If you specify a Closed Location in the Location field above, the result will usually be a report containing only a "Location closed" message . Select this option (as well as specifying the Location in the Location field) to confirm that you need to produce a report for a Closed Location. Usually such a report will be empty because you can only mark a Location as Closed when it contains no stock.
