Entering a Delivery - Items Card Part 2 (Flips D-F and Footer)
This page describes the fields on flips D-F and in the footer of the 'Items' card in the Delivery window. Please follow the links below for descriptions of the other cards:

Flip D
- Recipe
- The Recipe for Structured Items is entered here. This field cannot be changed.
- Source
- Paste Special
Sources setting, Stock module
- Default taken from Order row (flip F)
- You can use this field to record the origin of the Item (e.g. the manufacturer or farm). The Source will be printed in Delivery Notes and/or Picking Lists if you have included the "Source" row field in your Form Template designs.
- Invoiced
- This field will be updated automatically to show the quantity invoiced in Invoices and POS Invoices that you create from the Delivery. It will not be updated if you create Invoices from the originating Order or using any of the invoicing Maintenance functions.
- Despatch Date, Time
- Default taken from
Order row (flip G) or (Date only) Order ('Terms' card)
- You can record the despatch date and time for the Delivery row here.
- If you create a Delivery using the 'Create Deliveries from Orders' Maintenance function and select the Delivery per Location option, the despatch date and time will be copied from flip G in the originating Order row, but not from the 'Terms' card of the Order.
Flip E- Sales A/C

Account register, Nominal Ledger/System module
- Default taken from Order row (flip B)
- The Sales Account specified here will be copied to the resulting row in the Invoice if you create it from the Delivery. If you create the Invoice from the originating Order, Sales Accounts will be taken from the Order.
- If you are using the VAT Code Control option in the Account Usage S/L setting in the Sales Ledger, a check will be made when you save the Delivery that the VAT Codes specified in the originating rows in the Order are also the ones specified for the relevant Sales Accounts in the Account register. If this is not the case in any row, the Delivery will not be saved and instead there will be a "Not the same VAT Code as on Sales A/C" message.
- Cost A/C

Account register, Nominal Ledger/System module
- The Cost of Sales Account entered here will be debited with the value of the Item (i.e. with the Row FIFO value) in any Nominal Ledger Transaction created when you mark the Delivery as OK and save. The default will be chosen as follows:
- If you are posting Cost of Sales from Deliveries, this Account will be the Cost Account for the Location specified in the Location Accounts setting in the Stock module. The Location is the one specified on flip B or, if blank, on the 'Terms' card.
If you have not specified a Cost Account for the Location in the Location Accounts setting and you are using the Use Item Groups for Cost Accounts option in the Cost Accounting setting, this Account will be the Cost Account for the Item Group to which the Item belongs. If this is blank or the Item does not belong to an Item Group, it will be the Cost Account for the Item.
If you have not specified a Cost Account for the Location in the Location Accounts setting and you are not using the Use Item Groups for Cost Accounts option, it will be the Cost Account for the Item or, if that is blank, the Cost Account for the Item Group to which the Item belongs.
In all other cases, it will be the Cost Account specified in the Account Usage Stock setting.
In all cases, the appropriate Cost Account for the Zone of the Customer will be used.
- If you are posting Cost of Sales from Invoices, this Account will be chosen as described in the previous bullet point, but it will not be used as no Nominal Ledger Transaction will be created from the Delivery.
- If you are posting Cost of Sales from Invoices with Accruals from Deliveries, this Account will be the Cost of Sales Accruals Account specified in the Account Usage Stock setting. When you create the Invoice for the Delivery, the Cost of Sales Accruals Account will be credited and a Cost of Sales Account chosen as described in the first bullet point.
- If the Delivery is connected to a Project, this Account will be a Project Materials Usage Account, taken from the Item record, from the Item Group to which the Item belongs (if you are using the Use Item Groups for Cost Accounts option), or from the Account Usage Stock setting.
- Tags/Objects

Tag/Object register, Nominal Ledger/System module
- Default taken from Order row (flip B)
- You can assign up to 20 Tags/Objects, separated by commas, to a row in a Delivery, to be transferred to the consequent Nominal Ledger Transaction. You might define separate Tags/Objects to represent different departments, cost centres or product types. This provides a flexible method of analysis that can be used in Nominal Ledger reports.
- By default, the Tags/Objects entered here will be taken from the Order row from which the Delivery row was generated, but you can change them if necessary. Usually these Tags/Objects will represent the Item.
- In the Nominal Ledger Transaction generated from a row in a Delivery, the Tags/Objects specified here will be assigned to the debit posting to the Cost Account (Cost of Sales Account). They will also be assigned to the credit posting to the Stock Account if you are using the Tag/Object on Stock Account option in the Cost Accounting setting. For both of these assignments, these Tags/Objects will be merged with those of the parent Delivery (shown on the 'Terms' card).
- By default, you will not be able to specify Tags/Objects belonging to the same Tag/Object Type in the header (on the 'Terms' card) and in any of the rows. If you need to be able to do this, select the Allow Tag/Objects of same type on Header and Rows option in the Account Usage Stock setting. As just mentioned, the header and row Tags/Objects will be merged for all postings: if the merged set of Tags/Objects includes Tags/Objects belonging to the same Tag/Object Type, the Tag/Object from the row will be used and the one from the header will be discarded.
- Width, Height, Depth
- Default taken from
Item
- These fields contain the dimensions of the Item.
- If the Item is one that is sold by area or volume, you can have the Del. Qty calculated by multiplying the dimensions together. If you would like to use this feature, follow these steps:
- Select the Enable Quantity Calculation option in the Item Settings setting in the Sales Ledger.
- Select the Calculate Quantity option in the Unit that you have assigned to the Item. If the Item is sold by area, choose the Two Dimensions option in the Unit record. If the Item is sold by volume, choose the Three Dimensions option.
- In the Delivery row, enter the Width and Height (if the Item is sold by area) or the Width, Height and Depth (if the Item is sold by volume). The Del. Qty in the row will be calculated automatically.
- Please refer to the page describing the Units setting for details and an example.
Flip F- Packages
- Enter the number of Packages that will be needed to deliver the Del. Qty in the row.
- If you need this figure and/or the Package Desc (below) to be printed on Delivery Notes and/or Picking Lists to allow the Customer to ascertain quickly that the correct number and type of packages has been delivered, include the "Packages, row" and/or "Package Description, row" row fields respectively in your Form Template designs.
- The total number of Packages for the Delivery will be shown on the 'Packaging' card.
- P. Type

Pack Types setting, Stock module
- Specify here the type of Package that will be needed to deliver the Del. Qty in the row (e.g. envelope or box).
- Package Desc
- The Comment from the relevant record in the Pack Types setting will be copied here when you specify a Pack Type above.
- Excise
- You can use this field to record any consignment or customs number assigned to the outgoing shipment for the row. If you would like this number to be printed on Delivery Notes and/or Picking Lists, include the "Excise" row field in your Form Template designs.
Footer
- Total Qty
- The Total Qty field shows the total number of units in the Delivery (i.e. the sum of the quantities in the Del. Qty field in the rows). This field is also on the 'Del. Terms' card.
