Create Menu - Agreement - Rental Reservation

This page describes the 'Rental Reservation' function on the Create menu in the Agreement record window. If you are using iOS or Android, the 'Rental Reservation' function is on the + menu.

The next step after entering and confirming an Agreement is to add Rental Reservations to book the Items that the Customer will rent as part of the Agreement and to specify the rental periods. From these Rental Reservations, you should then create Items Out records to record the taking possession of the rented Items by the Customer.

To be able to create the Rental Reservations that are connected to an Agreement, the Status of the Agreement must be Active and it must have been marked as OK and saved. If an "Agreement not Valid" message appears when you try to create a Rental Reservation, it will be because one or both of these conditions are not met.

You can create Rental Reservations using the following methods:

1. You can create a Rental Reservation from an Agreement. Open the Agreement in a record window and select 'Rental Reservation' from the Create menu (Windows/macOS) or + menu (iOS/Android). The Agreement period will be copied to the new Rental Reservation.
   

2. A second way to create a Rental Reservation from an Agreement is to work from the Availability report. Selecting 'Availability' from the Operations menu (Windows/macOS) or Tools menu (iOS/Android) will print a report to screen that lists the Rental Items that are available during the rental period. If you are working from an Agreement that you have marked as OK, you will be able to create a Rental Reservation for an individual Rental Item by drilling down from a Serial Number in the report. Details of the Rental Item and the Agreement period will be copied to the new Rental Reservation.
   

3. You can create Rental Reservations from a Rental Quotation. Open the Rental Quotation in a record window and select 'Create Reservations (Accept Quotation)' from the Create menu or + menu. This function will create a new Agreement containing details from the Quotation, and new Rental Reservations will be created for each row in the Quotation.
   

4. You can add a Rental Reservation directly to the Rental Reservation register in the Rental module. Using this method you will need to connect a Rental Reservation to an Agreement by specifying an Agreement No. in the header of the Rental Reservation (Agreement No. is a mandatory field).
