Introduction to the Delivery Register

Using Standard ERP you can record every stage of the sales process in sequence from the Quotation through the Order and the Delivery to the Invoice and payment. You can begin the sequence at any stage (with the exception that a Delivery must be created from an Order).

After you receive an Order from a Customer, you should create a Delivery from the Order to record the Items that you will ship or otherwise hand over to the Customer. A Delivery is always connected with a Sales Order: you cannot add Deliveries directly to the Delivery register. A Delivery can be a full (final) Delivery or a part Delivery. You cannot use Deliveries if you do not have the Sales Orders module.

After you mark a Delivery as OK and save, you will be able to create an Invoice for the delivered Items. You can create the Invoice using the following methods:

  1. You can create the Invoice from the originating Order, by selecting 'Invoice' from the Create menu (Windows/macOS) or + menu (iOS/Android). The Invoice will include all previously uninvoiced Deliveries that you may have issued from an Order.

  2. You can create the Invoice from the Delivery itself, again by selecting 'Invoice' from the Create or + menu (iOS/Android). The Invoice will only include the Items in the individual Delivery.

  3. You can create Invoices from Orders in batches using the 'Group Invoicing' or 'Invoice Delivered Orders' Maintenance functions in the Sales Orders module. As in point 1, an Invoice will include all previously uninvoiced Deliveries that you may have issued from an Order.
It is usually not possible to create an Invoice from an Order if you have not delivered any Items on the Order. If you need to be able to do this, select the Invoice Before Delivery option on the 'Del. Terms' card in an Order (if you need this option to be selected by default, select the Invoices Before Delivery option in the Stock Settings setting).

As well as allowing ordered Items to be invoiced, marking a Delivery as OK and saving will cause stock levels of each Stocked Item in the Delivery to be updated. You can specify when Cost of Sales postings will be created in the Nominal Ledger, as follows:

  • Cost of Sales postings can be created from Deliveries.

  • Cost of Sales postings can be created from Invoices.

  • Cost of Sales postings can be created from Invoices, with accrual postings being created from Deliveries. This option will be most useful if you are likely to issue Deliveries and Invoices on different dates.

To open the Delivery register and view the Deliveries you have previously entered, ensure you are in the Stock module using the [Switch Module] button in the Home Screen, click (Windows/macOS) or tap (iOS/Android) the [Registers] button, also in the Home Screen, and double-click or tap 'Deliveries' in the resulting list. Once in the Stock module, you can also use the ⌘-1 (macOS) or Ctrl-1 (Windows) keyboard shortcuts. The 'Deliveries: Browse' window will be opened:

By default, Deliveries will be shown in number order. If you are using Windows or macOS, you can change the sort order by clicking on one of the other column headings. To reverse any sort, simply click once again on the column heading. The current sort order is marked by the column heading being coloured blue. If you are using iOS or Android, tap on the column heading and choose the sort order you need. Repeat the procedure to reverse the sort. If you need to save a sort order so that it will be used automatically the next time you open the 'Deliveries: Browse' window, sort the list into the order that you need and then select 'Save Position' from the Window menu (Windows/macOS) or tap the column heading again and choose 'Save sort order' (iOS/Android).

To search for a particular Delivery, first sort the list by the column that you want to use for the search. Then, enter the text that you want to find in the Search field in the top of the window (in the top right-hand corner if you are using Windows/macOS) and press the Return key (macOS) or Search (iOS/Android). The first record containing a match for your search string will be highlighted (if you are using Windows, a match will be highlighted as you type each character). For example, to search for a particular Customer Name, sort by Name before entering a Customer Name (or the first few characters) in the Search field.

If you are using Windows or macOS, there will be three buttons in the top left-hand corner of the 'Deliveries: Browse' window. These are part of the Limited Access feature. You can use them as follows (Windows versions of the buttons illustrated on the left, macOS on the right):

Lists all Deliveries.

Lists Deliveries created by members of the same Sales Group as the current user.

Lists Deliveries created by the current user.
You can also prevent a user from seeing all Deliveries in the list by restricting their view to their own Deliveries or to those of their Sales Group.
