Entering a Person Record - Access Card

Access Group
Paste Special    Access Groups setting, System module
Enter an Access Group, perhaps representing the department in which the Person works. By allocating an Access Group, you can restrict the Person's access to certain modules or parts of modules.

Sales Group, Limited Access
Paste Special    Sales Groups setting, System module
Enter a Sales Group, perhaps representing the department in which the Person works. By allocating a Sales Group to a user, they will be able to see a reduced selection of records in certain browse windows and 'Paste Special' lists if the Limited Access module is present. This can be useful where a register contains many records, making it easier to find the correct one.

The browse windows and 'Paste Special' lists with this feature have three buttons in the bottom right-hand corner. These buttons can be used as follows:

Lists all records in the register.

Lists records belonging to members of the same Sales Group as the current user (i.e. records whose Sales Group field is the same as that of the current user).

Lists records belonging to the current user (i.e. records whose Person field contains the initials of the current user).
It is also possible to prevent a user from seeing all records in a register by restricting their view to their own records or to those of their Sales Group. This applies to registers whose browse windows have the three buttons shown above, and is done by choosing a Limited Access option for each Person. The options are:
No Limitation
The Person will be able to see all the records in the register. They will be able to reduce the list so that it only shows records belonging to members of their Sales Group or their own records, using the buttons described above.

Group Only
The Person will only be able to see those records belonging to members of their Sales Group. They will be able to reduce the list to show their own records only.

User Only
The Person will only be able to see their own records.
The Limited Access module must be active if you want to choose the Group Only or User Only option for any Person, or if you want to use the browse window buttons. To make this module active, check the Limited Access box on card 4 of the System Usage setting in the System module. Remember that any changes made in this setting will require you to apply for a new Enabler Key.

Language
This field is only used in multi-language versions of Hansa. Enter the language used by this Person: all screens, menu items, field names and reports will appear in the correct language when this Person signs in to Hansa.

The language entered here must be one contained within the Hansa program, one that it can match to the appropriate set of translations. There is no 'Paste Special' link to the Languages setting in the System module because the records entered in that setting are user-defined and may not match those in the program.

Multi-language versions of Hansa are produced according to need and will not necessarily contain all of these languages. Standard versions of Hansa contain only one language, and this field can be left empty.
