Create Menu - Rental Reservation - Reservation due to Returned Items

This page describes the 'Reservation due to Returned Items' function on the Create menu in the Rental Reservation record window. If you are using iOS or Android, the 'Reservation due to Returned Items' function is on the + menu.

If a Customer needs to rent a quantity of non-Serial Numbered Items, one method of proceeding is to create a Rental Reservation in which you have specified the Item and the Quantity in the header. After creating an Items Out record and marking that record as Sent (to despatch the Items to the Customer) you will be able to start adding rental charges to the governing Agreement for the full quantity.

At any point during the rental period, the Customer might return some of the Items but retain the remainder. You will create and mark as Accepted an Items In record to receive the returned Items back in to rental stock. From this point you will need to continue adding rental charges to the governing Agreement but only for the quantity that the Customer has retained.

At this point you will not be able to add new charges from the existing Reservation because its End Date will now contain the date from the Items In record. This will prevent the 'Rental Charges' function from adding new charges. If you remove the End Date from the Reservation, the 'Rental Charges' function will continue adding new charges but for the original full quantity (i.e. for the Quantity in the header of the Reservation).

The solution is that after marking the Items In record as Accepted and saving is to go back to the Rental Reservation and select 'Reservation due to Returned Items' from the Create menu (Windows/macOS) or + menu (iOS/Android). This function will:

  1. Change the Status in the original Reservation to the Returned Status specified in the Rental Settings setting and mark that Reservation as Done. Note that the Items In quantity will be increased to the match the Items Out quantity because otherwise it would not be possible to change the Status or mark the Reservation as Done.

  2. Create a new Reservation for the remaining quantity, which will be copied to the Quantity and Items Out fields. The Status in this Reservation will be the Delivered Status specified in the Rental Settings setting. This Reservation will enable the 'Rental Charges' function to continue adding charges for the remaining quantities. Note: the End Date in the this Reservation will be copied from the original Reservation and so will usually be the current date. You will need to correct or remove this date to allow charging to continue.
