Entering a Contact - Personal Card

Most of the fields on the 'Personal' card allow you to record various pieces of personal information about Contacts who are Guests that you will use in Hotel Reservations. These fields are also visible in the Guest register, a subset of the Contact register located in the Hotel module. Please refer to the description of the 'Guest' card in this register here about these fields. Fields that are used outside the Hotel module or that are not visible in the Guest register are described below.
Doc. Type

You can use the Doc. Type field for one of two purposes, as follows:

  • If a Contact is a Hotel Guest, use the Doc. Type field to record the type of ID document that the Guest shows when they check in. Example values might be "passport" or "driving licence".

  • In Argentina, if a Contact is a Customer or a Supplier, the Doc. Type field should contain a code representing the type of ID document that the Contact has. For example, if the Contact is registered with the tax authority as a company, the type of the ID document will usually be "80", but if the Contact is a private individual, it might be "86" or "96". This code will be used in e-invoicing and tax exports.

Birthday
Paste Special    Choose date
If a Contact is a Contact Person or a Guest, you can record their date of birth here. This cannot be a date in the future.

You can use the Birthday List report in the CRM module to list Contacts with a particular birthday (date and month) or with birthdays in a specified period.

Paste Special    Booking Origins setting, Hotel module
If you will use a Contact as a Customer or Agent in Reservations and Reservation Quotations, you can specify a Booking Origin here. It will be copied as a default to each Reservation and Reservation Quotation.
