Operations Menu - Delivery - Refill Batch No. Items

This page describes the 'Refill Batch No. Items' function on the Operations menu in the Delivery record window. If you are using iOS or Android, the 'Refill Batch No. Items' function is on the Tools menu (with 'wrench' icon).

If you are using the Automatically set Batch Serial Number on Delivery option in the Stock Settings setting, batch Serial Numbers and Best Before Dates will be brought in automatically whenever you create a Delivery. This applies to Items that are Serial Numbered at the Batch level only. If you do not mark the Delivery as OK immediately, these default Serial Numbers may become incorrect because they may be removed from stock by another Delivery. When you attempt to mark the Delivery as OK and save, you will be notified that there is now insufficient stock of the provided batch Serial Number(s). You will then need to have new default batch Serial Numbers brought in to the affected row, which you can do by selecting this 'Refill Batch No. Items' function from the Operations menu (Windows/macOS) or Tools menu (iOS/Android).

For example, you have 20 units of an Item in stock. Ten units have Serial Number 1 and ten have Serial Number 2,. You receive an Order for eight units. When you create the Delivery, it will contain one row with a Del. Qty of 8 and, since you are using the Automatically set Batch Serial Number on Delivery option, Serial Number 1 will be brought in automatically. This Delivery is left without having been marked as OK and you then receive a second Order for three units. The resulting second Delivery will contain one row with a Del. Qty of 3 and Serial Number 1. If you mark one of these Deliveries as OK, the other will become incorrect. For example, if you mark the first Delivery as OK and save, eight units will be removed from stock so you will only have two units with Serial Number 1 left. When you come to approve the second Delivery, you will be warned that you have insufficient stock. You can then use this 'Refill Batch No. Items' function. It will change the Del. Qty in the first row to 2, and add a second row, with a Del. Qty of 1 and Serial Number 2.

For this function to have any effect, three conditions must be met:

  1. You must have selected the Automatically set Batch Serial Number on Delivery option in the Stock Settings setting. If you are not using this option, you cannot use this function. Instead, you should use the 'Split Row' function.

  2. You must place the insertion point in the row with the incorrect Serial Number. So, in a large Delivery, you may need to use this function several times.

  3. Usually, when the time comes to mark a Delivery as OK, you will try to do so without checking stock levels. When you tick the OK box and save, you will be warned that you have insufficient stock. This warning will place the insertion point in the appropriate row, thus satisfying condition 2 above. However, you must then remove the tick from the OK box before you can use this function successfully.
