Entering a Delivery - Packaging Card

This page describes the fields on the 'Packaging' card in the Delivery window. Please follow the links below for descriptions of the other cards:

Transport No.
An optional transport number, e.g. bill of lading number or consignment note number. This information will be printed on the Freight Label, Delivery Note and Picking List if you have included the "Transport Number" form field in your Form Template designs, and will be shown in the 'Deliveries: Browse' window.

You can have Transport Numbers generated automatically, using difference sequences for each Delivery Mode. This can be useful if, for example, you have pre-numbered stationery that you fill in for each Delivery. Define the sequences in your Delivery Mode records, and select the Use Series For Transport No. option. Whenever you create a Delivery from an Order using a Delivery Mode where you have done this, and whenever you specify such a Delivery Mode in a Delivery yourself, the next number in the sequence will be placed here automatically. You can change the number if necessary: there is no check that the number you choose has been used before or is in the range specified in the Delivery Mode record.

Leave this field blank if you will use the 'Register Electronic Shipment' function on the Operations menu (Windows/macOS) or Tools menu (iOS/Android) to register a Delivery with a shipping or courier company. At the time of writing, you can only use this feature if you are located in the US, with FedEx as the shipping company and for US domestic shipments. As part of the process, FedEx will send back a tracking number which will be copied to this field.

Packages
The number of packages used to make up the Delivery is calculated automatically from the number for each row (shown on flip F of the 'Items' card). Alternatively you can enter a total number of packages manually. If you would like the value in this field to be printed on Freight Labels, Delivery Notes and Picking Lists, include the "Number of Boxes" form field in your Form Template designs. In the case of Delivery Notes and Picking Lists only, an alternative is the "Number of Packages" form field, which will print a total figure calculated from the Packages field in each row.

If you use the [Define Packages] button on the 'Freight' card to create a list of the Delivery Packages that make up the Delivery, the total number of those Packages will be copied here on saving.

Language

The Language Code determines the Item Descriptions that will be shown on the 'Items' card, and the text for Delivery Term and Delivery Mode that will be printed on forms. Leave the field blank to use your home Language.

You can also use the Language to determine the Form Template that will be used when you print the Delivery, and the printer that will be used to print it. This can include sending the document to a fax machine, if your hardware can support this feature. Do this in the 'Form Definition' window for the Delivery and Picking List forms, as described here. You can change the Language before printing the Delivery even if you have marked it as OK., to ensure it will be printed on the correct printer or fax machine.

Currency

If you have entered a Declared Value of a Delivery, either directly to the field on the 'Del. Terms' card or through the [Define Packages] button on the 'Freight' card, specify the Currency of that Declared Value here.

Transport Directives
If appropriate, enter any special handling instructions for the Delivery here. This information will be printed on Freight Labels, Delivery Notes and Picking Lists if you have included the "Transport Directives" form field in your Form Template designs.

Plan. Sent Date

Use these fields to specify when you plan to send the Items in the Delivery to the Customer.

In Portugal (i.e. if the VAT Law in the Company Info setting is "Portuguese"), SAF-T reporting requirements demand that a Planned Sent Date and Time must be recorded for each Delivery. Use these fields to record the Planned Sent Date and Time, with these controls:

  • If you make an entry in one field, you cannot then leave the other field empty. For example, if you specify a Planned Sent Date, you must also specify a Planned Sent Time.

  • The Planned Sent Date cannot be earlier than the Return Date.

  • If the Planned Sent Date and the Return Date are both today, the Planned Sent Time cannot be earlier than the current time.

In all other countries, these fields are optional, and there are no controls over how you use them.

If you need this information printed on Delivery Notes and Picking Lists, include the "Planned Sent Date" and "Planned Sent Time" form fields in your Form Template designs.

From City
If appropriate, specify here the city from which the Delivery is to be made. If you need this information to be printed on Freight Labels, Delivery Notes and Picking Lists, add the "From City" form field to your Form Template designs.

To City
If appropriate, specify here the city to which the Delivery is to be made. If you need this information to be printed on Freight Labels, Delivery Notes and Picking Lists, add the "To City" form field to your Form Template designs.

From Dock
If appropriate, specify here the port or airport from which the Delivery is to be made. If you need this information to be printed on Freight Labels, Delivery Notes and Picking Lists, add the "From Dock" form field to your Form Template designs.

To Dock
If appropriate, specify here the port or airport to which the Delivery is to be made. If you need this information to be printed on Freight Labels, Delivery Notes and Picking Lists, add the "To Dock" form field to your Form Template designs.
