Entering a Delivery

This page describes adding a new record to the Delivery register in the Stock module.

Every Delivery must be connected to a Sales Order, which means that you must create new Deliveries from Sales Orders, you cannot create them by entering them directly to the Delivery register.

You can use the following methods to create Deliveries from Sales Orders:

  1. Open a Sales Order in a record window and select 'Delivery' from the Create menu (Windows/macOS) or + menu (iOS/Android). Save any changes you may have made to the Sales Order before selecting the function. The new Delivery will be created immediately and opened in a window entitled 'Delivery: Inspect'. This means that it has already been saved and is being opened for checking. If you need to delete the new Delivery, select 'Delete' from the Record menu (which has a 'cog' icon if you are using iOS or Android).

    You can of course find the Sales Order in the 'Orders: Browse' window and open it from there but if you have many Sales Orders, it may be difficult to find unfulfilled Sales Orders in the 'Orders: Browse' window. An alternative method is to produce an Outstanding Orders report, which only lists unfulfilled Sales Orders. You can open an individual Sales Order by drilling down from the report, and from there you can create a Delivery using the method just described.

  2. Highlight a Sales Order in the 'Orders: Browse' window and select 'Delivery' from the Create or + menu. As in point 1, the new Delivery will be created immediately and opened in a window entitled 'Delivery: Inspect'.

  3. Drag an Order from the 'Orders: Browse' window to the 'Deliveries: Browse' window.

  4. To create Deliveries from Orders in batches, use the 'Create Deliveries from Orders' Maintenance function in the Sales Orders module.
If you need to inspect an existing Delivery, you can open it using the following methods:
  • You can open it from the 'Deliveries: Browse' window.

  • Each Delivery will be attached to the originating Order. You can therefore open the originating Order, open the Link Manager and open the Delivery from there.
In both cases, the Delivery will appear as follows:

Since the amount of information stored about each Delivery will not fit on a single screen, the Delivery window has been divided into seven cards. At the top of each is the header. This contains the Delivery and Official Numbers, and the Customer Number and Name. There are seven named buttons ('tabs') in the header.

By clicking the tabs you can navigate between cards. The header is always visible, as a reminder of the Customer whose Delivery you are working with.

If you are using iOS or Android, there will only be two tabs, marked 'Items' and 'Details'. If you tap 'Details', you will see every card except 'Items' arranged vertically on screen. You can scroll down to see each one, or you can jump to any card by tapping on any tab and selecting the tab you want to go to.

Check the Delivery, saving all changes using the [Save] button (Windows/macOS) or by tapping √ (iOS/Android).
