Booking Origins

This page describes the Booking Origins setting in the Hotel module.

A Booking Origin is the method by which a Customer or Guest found out about the hotel. You can record a Booking Origin in each Reservation and Reservation Quotation. Use the Booking Origins setting to construct a look-up table to be used when recording this information.

If you need it to be mandatory that a Booking Origin is specified in every Reservation and Reservation Quotation, select the Force Entry of Booking Origin option on the 'Defaults' card in the Hotel Settings setting.

If you need to report on the Booking Origins of Reservations, use the Channel Statistics report.

To open the Booking Origins setting, first ensure you are in the Hotel module. Then, if you are using Windows or macOS, click the [Settings] button in the Navigation Centre or use the Ctrl-S/⌘-S keyboard shortcuts and then double-click 'Booking Origins' in the 'Settings' list. If you are using iOS or Android, select 'Settings' from the Tools menu (with 'wrench' icon) and tap 'Booking Origins' in the 'Settings' list. The 'Booking Origins: Inspect' window will open, listing the Booking Origins that you have previously entered.

Enter each new Booking Origin on the first blank line and, when finished, click the [Save] button (Windows/macOS) or tap √ (iOS/Android) to save the changes. To close the window without saving changes, click the close box (Windows/macOS) or tap < (iOS/Android).

If you need a particular Tag/Object to be assigned to every Reservation with a particular Booking Origin, specify that Tag/Object in the appropriate row. You can enter more than one Tag/Object, separated by commas. From a Reservation, the Tag/Object will be copied to the Tags/Objects field on the 'Terms' card of the resulting Invoice and to the Tags/Objects field in each Invoice row. Tags/Objects in a Reservation can be copied from the Room, the Room Type, the Room Package, the Booking Origin and from the Contact records for the Customer, the Agent and the Branch. The Tags/Objects that you specify in these records should each belong to different Tag/Object Types, because you can only use one Tag/Object belonging to a particular Tag/Object Type in an Invoice.

It is recommended that you enter Booking Origins in alphabetical order, as shown in the illustration. You can insert a new Booking Origin in the correct place in the list by clicking on a row number and pressing the Return key (Windows/macOS) or long tapping on a row number and selecting 'Insert Row' (iOS/Android). When you enter a new Reservation or Reservation Quotation and use 'Paste Special' to choose a Booking Origin, the 'Paste Special' list will show the Booking Origins in the same order as they are listed in this setting. If they are in alphabetical order, you will be able to find the correct one quickly and easily.

If you will enable Reservations to be placed online, you can specify that a particular Booking Origin will be assigned to such Reservations automatically. Specify the Booking Origin that is to be used on the 'Defaults Online' card in the Hotel Settings setting.
