Record Menu - History

This page describes the 'History' function on the Record menu in record windows. Depending on configuration, you can use this function with any record.

The 'History' function on the Record menu allows you to view the change history of a particular record.

To use this function, you must first instruct Standard ERP to store the change histories of records. To do this, follow these steps:

  1. In a multi-user system, ensure you are the only user that is logged in.

  2. Select 'Technics' using the [Switch Module] button in the Navigation Centre.

    If 'Technics' is not available in the list that opens when you press the [Switch Module] button, it will probably be because the Server option is not selected in the Configuration setting (single-user) or because you have not granted yourself access to the Technics module in the Access Groups setting (multi-user).

  3. Click (Windows/macOS) or tap (iOS/Android) the [Settings] button in the Navigation Centre and, in resulting the 'Settings' list, double-click or tap 'Logging Control'.

  5. In the Register column, use 'Paste Special' to select the registers for which histories are to be kept. No history will be kept for registers that you do not list in the grid. Note that maintaining record histories will cause the size of the database to grow quickly.

  6. In the Type column, use 'Paste Special' to set logging to "On" or "Off".

  7. Click or tap the [Save] button in the Button Bar to save the Logging Control setting.

  8. Quit and restart Standard ERP. In a multi-user system, restart the server.
Once you have followed these steps, to view the change history of a record, first open that record in a record window. Then, select 'History' from the Record menu (which has a 'cog' icon if you are using iOS or Android). A report will be printed to screen listing the events in the history of the record. The report will include the creation of the record, each modification and each reading. The report will show the date and time of each event and the Signature of the user responsible for the event:

Any changes made to the record before you enabled logging for the register in question will not be shown in the report.

The report has the following text links:

Date
Click or tap a date in the report to open the version of the record as it was on that date, before the modification. For example, if a record was created on April 23 and modified on April 24, 25 and 26, click on April 25 in the report to see the record as it was immediately before the April 25 modification.

Compare
Click or tap 'Compare' in the report to see a list of the things that were changed. To continue the example, click or tap 'Compare' for April 25 to see what was changed in the April 25 update.
