This page describes the Cars setting in the Expenses module.

The Cars setting in the Expenses module should contain details of the cars and vehicles owned by your company. After entering separate records in this setting for each vehicle, you will be able to use the Mileage register to record the journeys made by each vehicle. When you specify a Car in a new Mileage record, the correct driver, fuel type and fuel consumption will be brought in to the Mileage record from this setting.

To open the Cars setting, first ensure you are in the Expenses module. Then, if you are using Windows or Mac OS X, click the [Settings] button in the Navigation Centre or use the Ctrl-S/⌘-S keyboard shortcuts and then double-click 'Cars' in the 'Settings' list. If you are using iOS or Android, select 'Settings' from the Tools menu (with 'wrench' icon) and tap 'Cars' in the 'Settings' list. The 'Cars: Browse' window will be displayed, showing the records that you have previously entered. Double-click (Windows/Mac OS X) or tap (iOS/Android) an item in the list to edit, or add a new record by selecting 'New' from the Create menu (Windows/Mac OS X) or + menu (iOS/Android). When the record is complete, click the [Save] button (Windows/Mac OS X) or tap √ (iOS/Android) to save it.

Car Code
Enter the unique Code by which the Car record is to be identified from elsewhere in Standard ERP. The Code can consist of up to 20 characters, and you can use both numbers and letters.

Model
The type of vehicle.

Number
Any identifying number, such as the registration number.

Driver, Used By
Paste Special     Person register, System module and Global User register, Technics module
Specify in these fields the Driver and, if appropriate, other member of staff that normally use the car or vehicle. These will be copied as defaults to any Mileage records that you enter for the car.

Fuel
Paste Special     Fuel Types setting, Expenses module
The type of fuel used by the car or vehicle.

Normal l/100km
The usual fuel consumption of the car or vehicle (measured in litres per 100 km, or litres per 100 miles if you will be measuring distances in miles). This figure will be copied as a default to the Normal and Actual l/100 m fields in any Mileage records that you enter for the car. In the Mileage record, the Normal figure is fixed, but you can change the Actual figure. The Actual figure will be used to calculate the total cost of the journeys represented by the Mileage record.
