Distances

This page describes the Distances setting in the Expenses module.

The Distances setting in the Expenses module allows you to store the details of journeys that are made repeatedly by members of staff. By entering separate records in this setting for each journey, you can build a look-up table that you can use when entering records in the Mileage register. When you specify a Distance record in a Mileage record, the Description and Dist, km will be brought in to the Mileage record from the Distance record. This will help with data entry and to reduce the possibility for error.

To open the Distances setting, first ensure you are in the Expenses module. Then, if you are using Windows or Mac OS X, click the [Settings] button in the Navigation Centre or use the Ctrl-S/z-S keyboard shortcuts and then double-click 'Distances' in the 'Settings' list. If you are using iOS or Android, select 'Settings' from the Tools menu (with 'wrench' icon) and tap 'Distances' in the 'Settings' list. The 'Distances: Browse' window will be displayed, showing the records that you have previously entered. Double-click (Windows/Mac OS X) or tap (iOS/Android) an item in the list to edit, or add a new record by selecting 'New' from the Create menu (Windows/Mac OS X) or + menu (iOS/Android). When the record is complete, click the [Save] button (Windows/Mac OS X) or tap √ (iOS/Android) in the Button Bar to save it.

Dist. Code
Enter the unique Code by which the Distance record is to be identified from elsewhere in Standard ERP. The Code can consist of up to 20 characters, and you can use both numbers and letters.

Comment
Assign a descriptive name to the Distance record. The Comment will be shown in the 'Distances Browse' window and the 'Paste Special' list, so it should be descriptive enough to make the selection of the correct Distance record easy for all users.

Val, km
Record the length of the journey here. You can use miles or km, but be careful to use the same unit consistently throughout the system When you quote the Distance record in a row in a Mileage record, this figure will be brought in to the row automatically.
