Create Menu - Activity - Quotation

This page describes the 'Quotation' function on the Create menu in the Activity record window. If you are using iOS or Android, the 'Quotation' function is on the + menu.

The 'Quotation' function allows you to create a Quotation from an Activity quickly and easily, without the need to change to the Quotations module and open the Quotation register.

For example, from the 'Communication Centre' window, you might call a Contact or answer a call. A new Activity will be created when the call is answered. If the Contact requires a Quotation, save the Activity and then select 'Quotation' from the Create menu (Windows/Mac OS X) or + menu (iOS/Android). The Activity window will be closed, and the following window will open, allowing you to create a new Quotation:

The new record will be opened in a window entitled 'Quotation: Inspect'. This means that it has already been saved and is being opened for checking. Customer details will be copied to the Quotation, but the 'Items' card will be empty.

The Activity and the Quotation will be connected to each other through the Link Manager and Workflow Manager. When reviewing the Activity, you can return to the Quotation quickly and easily using the Link Manager, while you can open the Activity from the Quotation using the Workflow Manager.

If the function does not create a Quotation, the probable causes are:

  1. The Contact field in the Activity is blank (i.e. there is no Customer to be transferred to the Quotation).

  2. There is no valid record in the Number Series - Quotations setting (in the Quotations module). This problem will usually occur at the beginning of a new year.

  3. The Activity has not been saved.
