Stock Policies

When the production and purchasing requirements for a particular week or month are calculated, the calculation will take into account how many units should be in stock at the end of the week or month. This figure will be calculated using the information in the Stock Policies setting and the sales forecast figures.

In the Stock Policies setting, you should specify what the stock level of each Item should be, expressed as a number of days' sales. For example, in the illustration below we have specified that we want to keep ten days' sales of a particular Item in stock. Specifying stock levels in terms of sales rather than stock units allows the stock level requirement to change depending on the season.

The calculation of the number of units that will be sold in one day will be based on the predicted sales figures in Sales Forecast records. In the case of a seasonal Item, Sales Forecasts for the immediate future may contain high sales estimates, with sales predicted to fall in the longer term. The sales per day figure for such an Item will therefore start out high and gradually fall as the year progresses.

Using the No. of Periods field in the Forecast Settings setting, you can specify how many Sales Forecasts will be used in the calculation of the number of units that will be sold in one day. For example, if the No. of Periods is six, the number of units that will be sold in one day will be calculated by averaging the estimated sales in the Sales Forecasts for the next six weeks or months.

To open the Stock Policies setting, first ensure you are in the MRP module. Then, if you are using Windows or Mac OS X, click the [Settings] button in the Navigation Centre or use the Ctrl-S/⌘-S keyboard shortcuts and then double-click 'Stock Policies' in the 'Settings' list. If you are using iOS or Android, select 'Settings' from the Tools menu (with 'wrench' icon) and tap 'Stock Policies' in the 'Settings' list. The 'Stock Policies: Browse' window will open, listing the records that you have previously entered.

To enter a new record, select 'New' from the Create menu (Windows/Mac OS X) or the + menu (iOS/Android). The 'Stock Policy: New' window appears: complete the record as described below the picture and click [Save] (Windows/Mac OS X) or tap √ (iOS/Android) to save the new record.

Minimum Days, Maximum Days
Use these two fields to specify the minimum and maximum stock levels for each Item, expressed as a number of days' sales.

For example, the Minimum in the illustration above is 10, which means we need 10 days' worth of sales to be left in stock for the beginning of each period (i.e. at the beginning of each week or month, depending on the Period Type in the Forecast Settings setting). The number of sales per day will be estimated from Sales Forecasts for the Item.

When creating Production and Purchase Order Plans, you will be able to specify whether minimum or maximum Stock Policies should be used to calculate the required beginning-of-period stock levels for each Item. You will also be able to choose to ignore the Stock Policy setting, in which case it will be assumed that the required beginning-of-period stock levels for each Item should be the full Sales Forecast figure for that period.

Last Changed
This field shows the date you last saved the record and is updated automatically.

OK
You must mark a Stock Policy as OK and save in order for it to be used in calculations.

You will not be able to change a Stock Policy that has been marked as OK, but you can remove the tick from the OK box at any time.

You can use Access Groups to prevent certain users from marking Stock Policies as OK. To do this, deny them access to the 'OK Stock Policy' Action.

Forecast Class

If you use Classes to classify your Sales Forecasts, you can also enter separate records in this setting for each Class. This can be useful if, for example, you are using Classes to enter Sales Forecasts for different branches, and you will calculate separate Production and Purchase Order Plans for each branch.

You do not need to enter a record for every Class, but you should enter a record with a blank Class.

Period

If the Stock Policy applies to a particular period, record that period using these fields. This allows you to set Stock Policies for different parts of the year for seasonal Items.
